Shareflow – a solution to simplify email communications

I myself have used email for more than 10 years now for the following purposes:

  • Keeping in touch with friends and family
  • Receiving news alerts
  • Collaborating on projects

Whenever my team and I are working on new projects, we would try to set up a sharepoint site to put in all documents and information with regards to the project. However, we almost always fall back to using emails to send working documents for review and discussion purposes. In summary, email communications is still a vital tool for us when collaborating on projects or a specific activity.

However, these are some challenges we face when collaborating on projects via email:

  • Difficult to download and send large files via email.
  • Difficult to locate specific comments made by the client.
  • Difficult to track various versions of documents sitting in multiple emails.

To overcome some of the above challenges, I would recommend Shareflow – a web based SAAS solution which allows people to collaborate on projects more effectively and simplify email communications.

I gave Shareflow a try and these are my findings:

  • Shareflow allows us to collaborate on specific topics rather than looking through a whole list of emails threads.
  • Since Shareflow groups all info such as comments, files, events, maps on a specific topic, whenever we have a new team member, all we need to do is add the person into the flow and he could view the entire conversation from the beginning up to today.
  • People could easily provide comments to a deliverable by commenting directly to it.

There are some that say Shareflow is a Google Wave Knockoff. I can’t be really sure about this since I haven’t tried out Google Wave before and it’s not launched yet. But from what I heard, Google Wave allows us to:

  • Collaborate in real time. Meaning if two persons were online at the same time, they can see what each other is typing without having to click enter to send the message across.
  • Comment on specific parts of a message. Say the message has a header, a body and a summary. You can comment specifically on the header without having to comment to the entire message.

Either way, Shareflow is already available today, so it’s good to give it a try to see if your project team members can collaborate better with Shareflow.
